Spreadsheets are where many multi-academy trusts start, and for a single form entry they can just about cope. Run several schools from them and the cracks show quickly. Versions multiply, formulas break, and no one is quite sure which file is current. For a trust accountable to governors, the Department for Education and parents, that is a real risk rather than a minor annoyance.

Data governance is the first. Publicly funded and diocesan schools are accountable for how records are held, shared and retained. Ask where data is hosted, which certifications the provider holds and how access is restricted by role. A system with clear, role-based permissions and a full audit trail makes it far easier to show that records are handled properly when a governor, auditor or authority asks.

There is a fair counter-argument, and it is worth naming. More modules can mean more to learn and more to configure, and a school that only needs the basics might feel a broad platform is more than it wants. The answer is that flexibility should let you start small. The presence of forty modules does not oblige you to run forty; it means the tenth and twentieth are there when you need them, without changing systems.

Data mapping comes first. List every type of record your current system holds, from pupil details and attendance to finance and communication history. For each one, agree where it will live in the new platform and what format it needs to be in. This is where problems surface early, because two systems rarely store the same information in exactly the same way. Run a test import on a sample before the full move, check the results field by field, and fix the mapping before you commit real data.

Moving a school management information system to the cloud is now close to standard practice, but "cloud-based" on its own tells a school almost nothing about how secure that hosting actually is. Two vendors can both describe their product as cloud-based while differing significantly in hosting location, certification and the practical protections behind the marketing term. Due diligence needs to go past the label.

So when a supplier says its purpose is "Helping Learning Thrive", judge the claim against features you can test. Does attendance take seconds or minutes. Do parents have one place to go.
